Introduction

At Filmsupply, our admin platform was a critical hub for managing a vast library of high-quality film content, facilitating licensing, and streamlining operations for internal teams. However, as Filmsupply scaled, our fragmented design approach led to inconsistencies, inefficiencies, and a growing maintenance burden across our admin tools.

As the Director of Product Design, I led the charge in defining a scalable, system-driven interface that would serve the organization long-term. My focus was on establishing sustainable UX patterns, streamlining workflows, and introducing a design system that could support future iterations without redundancy or unnecessary complexity.

Challenges

Filmsupply’s admin tools evolved over time without a unified approach, leading to:

  • Fragmented UI and UX patterns that slowed down workflows and introduced usability friction.
  • Lack of scalability as new features required ad-hoc solutions instead of leveraging reusable components.
  • High design and development overhead, making updates costly and inconsistent.

We needed to standardize the experience, increase efficiency, and build a flexible system that could evolve with Filmsupply’s growing needs.

The Solution: A Universal Design System

Working closely with our product, engineering, and operations teams, I spearheaded the creation of a unified design system that addressed these challenges head-on. Our approach included:

1. Establishing a Scalable UI Framework

We defined core interface components that could be reused across different admin tools, reducing redundancy while ensuring visual and functional consistency. This included:

  • Standardized navigation patterns for seamless transitions between workflows.
  • Modular UI components adaptable to new features without reinventing the wheel.
  • Scalable layouts that could accommodate various levels of content complexity.

2. Implementing Sustainable UX Patterns

We audited existing workflows to identify bottlenecks and inefficiencies, then introduced repeatable UX patterns that improved usability and speed. These included:

  • Consistent form designs that improved data entry speed and accuracy.
  • Intuitive filtering and search for quickly navigating the Filmsupply library.
  • Actionable dashboard views that provided meaningful insights without cognitive overload.

3. Defining a Future-Proof System

Rather than designing just for the present, we laid the foundation for long-term scalability:

  • Flexible design tokens to ensure brand alignment while allowing for iteration.
  • Componentized front-end architecture that could support multiple admin tools with minimal rework.
  • A documentation-first approach that allowed designers and developers to easily extend the system.
